China Golden Week 2026: A Pre-Holiday Shipping Checklist for Overseas Freight Forwarders

Overseas freight forwarders should prepare for China’s Golden Week by confirming cargo readiness, origin handling arrangements, shipment-specific cut-offs, document approval and holiday contacts with their Chinese partners. A booking confirmation alone is not enough: each shipment needs a clear record of completed milestones, outstanding actions and an agreed backup plan.

China’s 2026 National Day holiday runs from 1 to 7 October. The Mid-Autumn Festival holiday falls on 25–27 September, so late-September coordination should account for both periods. What Does China’s Golden Week Mean for Overseas Freight Forwarders?

For an overseas forwarder, the practical issue is whether every party needed to move a shipment will be available at the right time.

A supplier may finish production but still need to complete packing. A warehouse may receive cargo while the person responsible for correcting documents is unavailable. A confirmed departure may still depend on trucking, cargo acceptance and outstanding approvals.

The national holiday calendar does not establish a single closure schedule for factories, ports, warehouses or carriers. Ask your China partner to verify the arrangements relevant to each shipment.

Your customer-facing update should distinguish between:

  • Confirmed: Supported by a booking, receipt, approval or operating-party confirmation.
  • Pending: Awaiting an action, document or response.
  • At risk: A missing milestone could affect the planned departure.
  • Decision required: The customer or overseas agent needs to approve a change.

This gives your team a clearer basis for communicating with shippers and consignees.

Which Dates Should You Confirm Before the Holiday?

Start with the required delivery date and work backwards through the complete shipment plan. Record deadlines with the date, time and time zone. China Standard Time is UTC+8.

There is no universal last booking date for shipping from China before Golden Week. Deadlines depend on the route, service, cargo, origin location and operating parties.

The official calendar also lists 20 September and 10 October as adjusted working days. These dates do not confirm that a particular supplier or logistics provider will operate normally. Verify their actual schedule using the official holiday notice as a starting point.

Should You Use FCL, LCL, Air Freight or Rail Before Golden Week?

Choose the option that meets the customer’s delivery requirement with a workable origin plan. Compare the complete service, including cargo collection and destination handling, rather than the main transport leg alone.

Ask for the quotation’s validity, inclusions, exclusions and cancellation or amendment conditions. Any holiday-related charge should be identified and confirmed for the actual service.

How Should You Organize the Pre-Holiday Handover?

Use one shared shipment record so the overseas office, China partner and supplier work from the same information.

Step 1: Confirm the shipment brief.

Collect the origin and destination, cargo description, package count, weight, dimensions, cargo-ready date, required delivery date and agreed service scope. Identify special cargo requirements before selecting a route.

Step 2: Verify readiness with each supplier.

Ask whether production, packing and release arrangements are complete. For several suppliers, record each status separately. “Most cargo is ready” does not show whether a consolidated shipment can proceed.

Step 3: Match the cargo plan to actual cut-offs.

Connect supplier release, pickup and warehouse or terminal delivery to the booked service. Identify dependencies that could prevent the shipment from meeting its next milestone.

Step 4: Resolve documents and approvals.

Confirm who prepares, checks and approves each document. Track missing information and ensure the relevant people remain reachable until their actions are complete.

Step 5: Agree the fallback decision.

If cargo misses an agreed milestone, decide who can approve waiting, splitting, rebooking or changing the route. Obtain approval for additional costs before committing to the revised arrangement.

Step 6: Issue a final status update.

Summarize what is complete, what remains open, the next decision deadline and who owns it. Include the holiday contact and next planned update.

A useful update format:
Shipment reference → confirmed milestone → outstanding issue → delivery impact → proposed action → approval deadline → responsible contact.

Which Documents and Shipment Records Should Be Ready?

The required document set varies by cargo, transport mode, origin and destination. Use this checklist to identify applicable items and confirm requirements with the responsible operating parties.

For packed containers covered by SOLAS requirements, the verified gross mass must be available sufficiently early for stowage planning. VGM is a condition for loading, but it does not itself guarantee loading. The International Maritime Organization explains the VGM requirements.

Check information across documents for consistency, while allowing for legitimate differences between document types. Keep version control so a corrected packing list does not leave an outdated transport-document draft in circulation.

What Should You Do If One Supplier Misses the Agreed Deadline?

First establish whether the delayed goods are essential to the rest of the order. Then compare the consequences of waiting with the cost and practicality of shipping separately.

Ask:

  • Can the customer use the available goods without the delayed items?
  • Would waiting cause the ready cargo to miss its departure?
  • What extra charges would each alternative create?
  • Can the delayed goods move separately under the required documentation?
  • Who has authority to approve the change?

Illustrative situation: Two suppliers have delivered to the consolidation warehouse, while a third has not completed packing. The decision should be based on the customer’s priorities, the remaining cut-off window and the revised cost—not simply a preference to keep everything together.

What Should Overseas Agents Confirm About Communication and Responsibilities?

Before the holiday, agree how operational updates and commercial decisions will move between the two forwarding teams.

Confirm:

  • The main contact, backup contact and actual availability.
  • Who may communicate directly with the supplier or consignee.
  • Which customer communications should pass through the overseas agent.
  • Who approves changes, extra costs and revised routing.
  • Who checks house and master transport-document information, where applicable.
  • Who sends the pre-alert and confirms destination receipt.
  • When routine updates will resume after the holiday.

Do not assume that an available contact can also authorize a trucking change, document amendment or new booking. Record operational responsibility and approval authority separately.

Can shipments still leave China during Golden Week?

Some services may operate, but each shipment depends on the relevant supplier, warehouse, trucking, terminal, carrier and document arrangements. Confirm the complete operational chain rather than assuming either normal service or a nationwide shutdown.

How early should we send shipment details to our China agent?

Send the initial brief as soon as the cargo and delivery requirement are known. Update it when packing data becomes final. The workable lead time must be determined from the selected service’s cut-offs and the supplier’s actual availability.

Is air freight always the best backup for a delayed ocean shipment?

No. Air freight requires suitable cargo, available capacity, complete documents and workable destination handling. Compare the additional cost with the delivery requirement. Sending only the urgent portion may also be worth evaluating.

Does a confirmed booking mean we can promise departure to our customer?

No. A booking should be supported by verified execution milestones, including applicable cargo acceptance, document submission and release requirements. Communicate the current status and remaining dependencies clearly.

What information should a China partner provide before the holiday starts?

Request a shipment-level handover showing the latest confirmed status, outstanding documents, applicable deadlines, decisions required, contact availability and next update time. Open issues should have a named owner and escalation route.
